Job Vacancy: Education Administrator for the Academy of Business and Finance

KMV College, The Kingdom of Mount Vema College, a division of The RMVF-Academy (Royal Mount Vema Foundation Academy), is looking for a highly organised, friendly and approachable Education Administrator who is passionate about making a difference in the sector, to manage the administration of the Royal Mount Vema Foundation Academy of Business and Finance, its support systems and activities that will keep the institution running smoothly.
 
Mount Vema citizenship is not a requirement to apply for this vacancy.
 
As the education administrator for the Royal Mount Vema Foundation Academy of Business and Finance, you'll normally work in areas such as admissions, quality assurance, data management and examinations, will oversee specialist departments such as finance, careers, marketing and human resources.
 
The work will not be centrally based, you may be required to remotely coordinate faculties, department and other smaller units located in different parts of the world.
 
Responsibilities:
  • provide administrative support to a team of lecturers, tutors or teachers
  • manage the student life cycle from registration/admission to graduation/leaving
  • work with academic boards, governing bodies and task groups
  • assist with recruitment, public or alumni relations and marketing activities
  • draft and interpret regulations
  • deal with queries and complaints procedures
  • coordinate examination and assessment processes
  • maintain high levels of quality assurance, including course evaluation and course approval procedures
  • use information systems and prepare reports and statistics for both internal and external use
  • participate in the development of future information systems
  • contribute to policy and planning
  • manage budgets and ensure financial systems are followed
  • purchase goods and equipment, and process invoices
  • supervise other administrative staff
  • communicate with partner institutions, other institutions, external agencies, government departments and prospective students
  • organise and facilitate a variety of educational or social activities.
 
Salary and Benefits
The salary is $60,000 US dollars per year.  Paid monthly in arrears.
The benefits include paid medical coverage, paid vacation, sick days, holidays, and a pension plan. Benefits are only applicable after you complete three months on the job.
 
Working hours
You will work normal business hours 9am to 5pm (Mount Vema Time Zone = UTC+1) Monday to Friday however, you may be expected to work additional hours including weekends or evening work. You may have to work overtime at certain points in the year, for example during examinations, enrolment or academic quality visits. Generally, you may be expected to work additional hours to meet deadlines without overtime compensation.
 
Work Conditions
As you will be working outside Mount Vema, you may be provided with a private Office at a later stage however, initially you will be expected to work from home. Travel is almost always involved in this role, and therefore the work environment may vary quite dramatically day to day.
 
Requirements
If your application is accepted, you will be required to open a bank account with a Mount Vema bank, if you do not already have a Mount Vema bank account.
 
What to expect
  • The work can be challenging, particularly at key points during the academic year. Any changes in the education sector impact directly on administrative staff.
  • You may need to travel locally and further afield. More generally, you may need to travel to conferences and training events.
  • You may be required to travel to liaise and collaborate with overseas partners, when the task cannot be performed remotely.
 
Qualifications
You do not need a degree to apply for this position. However, a degree may help you stand out from other applicants. You will need experience of working with word processing and common IT packages.

You will need to have:
  • strong interpersonal skills to help you relate to students, academic staff, teachers, senior managers and colleagues in other areas
  • excellent written communication skills
  • teamworking skills and the ability to work alone without supervision
  • the ability to deal positively with change
  • experience in organising, prioritising and managing your time effectively
  • IT skills in areas such as word processing, spreadsheets, databases and the internet as well as using social media
  • attention to detail to avoid mistakes
  • the ability to cope with a heavy workload and frequent interruptions
  • awareness of confidentiality when working with student or staff records
  • a flexible approach to work.
 
Work experience
Except for a guide on how to use of the academy’s software system, training is not provided, as some formal office experience is required. You will be expected to develop your own ways of work, proving that you follow the protocol and the expected codes of conduct.

 It is important to show your interest in the education sector through, for example, involvement in university or school life, committee work, work as a sabbatical officer, student recruitment activities and participation in skills development schemes and mentoring.
